Hiring Student Employees
Steps to hire graduate student employees:
1. Contact the HR manager with the student’s name, net ID, program or department, start and end dates, and budget worktag(s).

The HR manager will prepare an appointment letter and send onboarding information to the student.
Steps to hire undergraduate student employees:
- 1. Please fill out a Student Employee Position Information form and return to HR manager.
- 2. If you are hiring an hourly student assistant or work study student and you already know who you want to hire, we are not required to conduct an open recruitment. Simply fill out the Student Employee Position Information form and return it to HR manager for further processing.
3. If you would like to do a job search, once the job description has been approved by both the hiring manager and HR, the position will be posted by HR to the target audience for a minimum of one week (5 business days) via Handshake (student job board) and/or the Work Study job board.
4. Please let the HR manager know who the lab’s main point of contact for will be reviewing applications.
5. The main point of contact for the position will receive email notifications about applications. For Handshake, they can select whether they want to receive these as they come in, or at the end of the job posting period.
6. The lab then schedules and conducts interviews and reference checks.
7. The lab informs the HR manager whom to hire, including the names and contact information of the students.
8. The HR manager will contact the final candidate for further new hire processing and provide instructions for onboarding and completing timesheets.
9. When a student is leaving employment in the lab or graduating, please inform the HR manager as soon as possible so they can be removed from payroll, listservs, Slack, and building access. Please inform HR even if the student will still be in the lab doing research for credit, or volunteering after graduation. To remain an employee after graduation, HR needs to change the job type, which can take up to 2 months.
